Full-time Assistant to Executive Director
Rock’n Our Disabilities (RODF) has been a non-profit charitable organization since 2018 with a mission to serve those with special needs in our local community. With that in mind, we provide an accurate source of information and networking for anyone and everyone who comes to us for help. The core of our services was to provide free of charge monthly dinners, recreational activities, educational/learning opportunities and social activities for individuals with special needs and their families to help build relationships, quality of life and share community.
Our nonprofit organization has been vital in providing services during these uncertain times to our community for families with special needs and disabilities, the majority of who are low income. COVID-19 has affected all of us in so many ways, but our organization has adapted and responded to the needs with new and creative ways. Since March 2020, we have added virtual classes and live zoom classes to help keep our families engaged. We began giving out food in April and to date have served over 5,000 residents. In August, we were approved to be a food distribution resource for Feeding America and are going to Riverside at least once a week to pick up pallets of food/dry goods that we give out during the week. We also pick up and distribute other weekly local donations of food.
The Assistant to the Director is a position responsible for oversight support of the operations and some program director responsibilities. This position will work closely with the Director and other assigned personnel. Responsibilities include administration, communication (bi-lingual English and Spanish), leadership, customer service and teamwork among all involved parties.
1. Promote vision and mission of organization
2. Present a professional and pleasant appearance and manner to all who come in to the center.
a. Handle phones with professional, confidential, friendly, and proficient manner.
b. Maintain security of the facility and ensure that all procedures for opening and closing are being handled appropriately.
3. Responsible for providing accurate and supportive information to individuals/families seeking help.
a. Understand and express clear communication of services provided.
b. Maintain accurate records of attendance, database records and contract reporting.
c. Maintain complete confidentiality and compliance with HIPAA practices.
4. Responsible for filling in for Director and working with other assigned personnel to successfully operate the center during working hours.
a. Work with assigned personnel to provide accurate records in the absence of the Director.
b. Communicate with Director on an as-requested basis.
c. Seek approval from Director on any unusual or unexpected issues that occur during the Director’s absence.
d. Maintain complete confidentiality and compliance with HIPAA practices.
e. Perform Marketing and social media responsibilities.
f. Perform administrative responsibilities to support the accounting practices.
5. Responsible to direct the Food Program and Recreation/Arts Programs with effective teamwork methods and provide guidance per policies and procedures.
6. Responsible to provide volunteers with guidance per policies and procedures outlined.
3-5 year experience in administrative positions, FBI background check/clearance and child abuse clearance required, current CPR adult and infant with first aid certification, current San Bernardino food handlers card, excellent oral and written communications skills with volunteers and practice effective customer service methods, computer skills in database and office software, ability to think beyond duties and situations that require resolution thinking, demonstrate independent judgment and discretion in unusual situations and be accountable for implementing, ability to work independently on multiple and varied tasks, ability to work flexible hours, excellent organizational, and the ability to take initiative, manage multiple tasks, and meet multiple deadlines.
